The problem

Financial-services ServiceNow estates accrete global customizations until upgrades become impossible.

Banks, insurers, and asset managers come to ServiceNow with serious operational asks: an ITSM platform regulators trust, an HRSD foundation that scales across 10,000+ employees, and the workflow-app surface that replaces the long tail of SharePoint and email-based processes. The pattern that fails them is partner work that ‘customizes the global’: embedding business logic in global code that breaks every Now Platform release and turns upgrades into multi-quarter projects.

We deliver financial-services ServiceNow with scoped-application discipline. Every customization lives in its own scoped app with documented upgrade impact. ATF (Automated Test Framework) runs as part of the upgrade cycle. Audit-grade evidence is configured in the platform (not bolted on later). The estate stays upgrade-ready quarter after quarter, and the platform compounds value rather than accruing debt.

  • 04

    GRC + Integrated Risk Management

Policy + Compliance, Risk Management, and Audit Management modules tuned for financial-services frameworks (SOX, OCC, FFIEC). Evidence collection automated against control catalogs.

  • 05

    Custom workflow apps (App Engine)

Workflow apps for the long tail: trade-exception workflows, vendor-onboarding, regulatory-filing tracking, and AML case management adjacencies. Built in scoped apps with upgrade-impact documented.

  • 06

    Now Assist + responsible-AI guardrails

Now Assist for case summarization, knowledge generation, and agent-assist, with human-in-the-loop checkpoints and the audit logging financial regulators require for AI-supported decisions.

How we engage

4 phases, named in the SOW.

Each phase has a deliverable, an owner, and an acceptance criterion calibrated to financial services delivery.

  1. 01

    Estate-fit + upgrade-readiness audit

Three-week audit: existing customizations, global vs. scoped, upgrade history, ATF coverage, and regulatory-evidence gaps. Output is an honest assessment of where the estate is upgrade-blocked and a remediation plan.

  2. 02

    Scoped-application discipline

All new customization in scoped apps. Existing global customizations refactored into scoped apps over time, prioritized by upgrade-blocking impact. Every change documented with upgrade-impact and named owner.

  3. 03

    ATF + continuous-upgrade cadence

Automated Test Framework coverage for critical workflows; ATF runs as part of every upgrade. Continuous-upgrade discipline: each Now Platform release evaluated, applied, and certified within 90 days, not deferred for years.

  4. 04

    Audit + regulator-readiness

Evidence collection configured in the platform: change-management trail, access reviews, segregation-of-duties enforcement, and the audit-log retention regulators require. Evidence package shipped, not improvised.

Compliance overlay

Frameworks we engineer to.

Every financial services engagement carries the evidence collection that procurement and audit teams expect on day one.

  1. 01

    SOX + OCC

Change-management evidence, segregation-of-duties enforcement, and audit-log retention configured for SOX and OCC review. Evidence collection automated against the control catalog; auditor-acceptable export formats.

  2. 02

    GLBA + PCI-DSS overlay

Sensitive data handling on incident records (account numbers, customer PII). Tokenization at the source where it applies; restricted-view roles for sensitive fields; case-data retention rules per regulatory frame.

  3. 03

    Continuous upgrade

Each Now Platform release evaluated within 30 days, regression-tested via ATF, and applied within 90 days of GA. The discipline is the moat, financial-services ServiceNow estates that fall 2+ versions behind become a liability.

Common questions

Asked before the first call.

  1. 01

What's the biggest mistake we should avoid?

Customizing the global. Every line of business logic in the global scope ages into a liability the next upgrade has to fight through. Customize in scoped apps from day one, even for ‘quick wins’. We've spent more time refactoring banks' global customizations into scoped apps than we have building net-new. It's the most expensive mistake in financial-services ServiceNow.

  2. 02

Can ServiceNow handle our regulator's evidence requirements?

Yes: across SOX, OCC, FFIEC, federal-reserve, and most international frameworks. The platform supports the change-management trail, access reviews, segregation-of-duties, and audit-log retention regulators look for. The work is configuration: enabling the right audit modules, mapping the control catalog, and producing the evidence-export format your auditors want.

  3. 03

How do you handle Now Assist (AI) in a regulated context?

Three guardrails. (1) Human-in-the-loop: AI-generated outputs (summaries, knowledge articles, agent-assist replies) are recommended, not auto-applied: a reviewer accepts or edits. (2) Audit logging: every AI action logged with prompt, output, and reviewer. (3) Scope boundary: Now Assist limited to non-decisional support work, not credit / compliance / customer-impact decisions. Regulators accept AI-assisted operational work; they don't accept unreviewed AI deciding outcomes.

  4. 04

We have BMC Remedy / Cherwell / HEAT, should we migrate?

Migrations from those platforms to ServiceNow are common for banks consolidating multiple BUs onto a single ITSM. Cost / benefit is real: the migration is 12–18 months, but the ongoing run cost drops 30–50% post-consolidation and the regulator-evidence story improves materially. We'll do honest cost / benefit modeling before recommending migration.

  5. 05

Can we keep our existing IdP / SSO?

Yes, including the complex multi-IdP setups financial-services firms commonly run. Entra ID, Okta, Ping are all native; legacy SAML 2.0 IdPs work too. Conditional access policies map cleanly; SCIM provisioning where it makes sense. We've integrated estates with 4+ concurrent IdPs (acquisitions inheritance) without moving any of them.

  6. 06

    What does an engagement cost?

    Estate-fit + upgrade-readiness audit: 3 weeks, $80K–$160K. ITSM + ITOM consolidation (mid-size bank): 12–18 months, $1.5M–$4M. HRSD rollout (10,000+ employees): 8–14 months, $700K–$2M. GRC implementation: 6–12 months, $400K–$1.2M. Managed services post-launch: $40K–$160K monthly retainer.
